How the Circuit Riders assisted Groups to use ICT to enhance their activities.

In just over a year we have supported 82 different voluntary and community groups in Community First wards in Carmarthenshire, Ceredigion, Merthyr Tydfil and Pembrokeshire. We have helped arts groups, sports groups, social enterprises, community associations and health groups to name just a few.

We assisted 54 groups to launch their own website and provided practical ICT support such as network development, internet connectivity and ICT consultancy to 51 groups. Many groups benefited from both types of support. These are three examples, and you can see more on VICTOR if you are online.

llanelli dagAn active group based in Llanelli, Carmarthenshire that works with disabled people, businesses, architects and designers, the public sector and the voluntary and community sector in the Llanelli district and elsewhere.

Llanelli D.A.G promote best practice in accessible and inclusive design and access standards.

The group had two aging PCs they used for administrative tasks and email. They were keen to embrace the use of ICT in their activities, but funding is a big problem for them.

The Circuit riders advised on possible funding sources and the potential of mobile working. The dial up connection in the office had been causing problems and was very slow so we assisted with moving the group over to a broadband connection.

A general ICT audit was undertaken and advice given on free security software. On the 9th November the groups new website, developed with the Circuit Riders help was launched. This site aims to provide visitors with vital infomation about the group and their work, to better promote their activities and encourage local businesses and organisations to take greater responsibility for access. A large number of factsheets and information is available to the public for download, and consultation documents are posted on the site.

Ceredigion Shopmobility, based in Aberystwyth, offers people with mobility problems the opportunity to fully enjoy the shopping and scenery of this historical coastal town through the low cost hire of a range of mobility aids from manual wheelchairs to powered scooters.

Ceredigion Shopmobility use ICT within their organisation for communications, promotion and record keeping. The organisation has significantly advanced their use of ICT during the last year. With the assistance of the Circuit Rider Project, Ceredigion Shopmobility have developed and launched their own website allowing them to increase awareness and promote their activities and services to a wider audience.

With support from the project, the group have utilised recent software upgrades including Microsoft's latest Vista operating system bringing increased security and reliability benefits. Another innovative technology to be exploited by Ceredigion Shopmobility is the recent installation of a new Voice over IP (VOIP) telecommunications system that has helped to reduce costs and allowed the organisation to better stay in touch with their users.

Besides assisting with the above major projects, the local Circuit Riders have also provided Ceredigion Shopmobility with ongoing ICT technical support during the course of the last year, assisting with technical issues such as printing and internet connectivity problems, helping to develop and implement a backup strategy and the selection and installation of various software.

The purpose of this group is to promote Pembroke Dock through organising and promoting the Pembroke Dock Midsummer festival. The group comprises of volunteers from other voluntary groups/organisations, councillors, Planed and is facilitated by Communities First, together with a part-time paid administrator post.

They use ICT for communications by e-mail, limited research conducted on the internet, and word processed correspondence using personal computers owned by individual group members.

The main area identified where ICT could immediately benefit the group's activities was for the development of a website to promote the Festival. Two main uses were identified; to document previous Festivals and promote the upcoming Festival.

Although the group initially thought they would wait until next year as it was nearly midsummer, two members of the group went through the 123-communicate process and, with much hard work the website was planned, developed and launched in six weeks!

During the busy period leading up to the Festival, the Circuit Rider project provided essential technical support to group members re-establishing effective online communications when they failed and installing a new laptop for the Group Co-ordinator. In addition new software was installed to allow effective sharing of documents - a small but vital improvement.

Other areas identified for future improvement included a database of sponsors for mailings and use of accounting software. Information given to the group increased security, safer working and reduced working costs.

The Secretary of the Festival Group had this to say about the project; 'On behalf of the festival group please accept our thanks for your help in repairing my computer, saving me from a spell in a home for the totally bewildered, and also your valuable assistance and instruction on setting up our web site. The fact that your team can offer such willing help and backup, moves groups like ours onto more ambitious projects and improvements in our present set-up with the knowledge that you are just a phone call away.'

Pwrpas y grwp hwn yw hyrwyddo Doc Penfro, trwy drefnu a hyrwyddo gwyl Ganol Haf Doc Penfro.  Mae'r grwp yn cynnwys gwirfoddolwyr o grwpiau / mudiadau gwirfoddol eraill, cynghorwyr a Phlaned, a chaiff ei hyrwyddo gan Gymunedau yn Gyntaf, ynghyd â swydd gweinydd â thâl rhan amser.  

Maent yn defnyddio TGCh i gyfathrebu ar e-bost, maent yn gwneud rhywfaint o waith ymchwil ar y rhyngrwyd, a gohebiaeth wedi'i brosesu gan ddefnyddio cyfrifiaduron personol sy'n eiddo i aelodau unigol o'r grwp.   

Canfuwyd mai'r prif faes lle gallai TGCh fod o fudd yn syth i weithgareddau'r grwp fyddai datblygu gwefan i hyrwyddo'r Wyl.  Canfuwyd dau brif ddefnydd; i ddogfennu Gwyliau blaenorol ac i hyrwyddo'r Wyl nesaf.  

I ddechrau roedd y grwp yn bwriadu aros nes y flwyddyn nesaf, oherwydd roedd hi bron yn ganol haf, ond fe ddilynodd dau aelod o'r grwp y broses Cyfathrebu-123 a, gyda llawer o waith caled, llwyddwyd i gynllunio, datblygu a lansio'r wefan o fewn chwe wythnos!

Yn ystod y cyfnod prysur a oedd yn arwain i fyny at yr Wyl, rhoddodd y prosiect Cylchredwyr gymorth technegol hanfodol i aelodau'r grwp wrth ailsefydlu cyfathrebu effeithiol ar lein, pan wnaethant fethu a gosod gliniadur ar gyfer Cyd-drefnydd y Grwp. Yn ogystal, gosodwyd meddalwedd newydd i alluogi iddynt rannu dogfennau'n effeithiol - gwelliant bach ond hanfodol. 

Roedd y meysydd eraill sydd i'w gwella yn y dyfodol yn cynnwys cronfa ddata o noddwyr, ar gyfer pecynnau yn y post, a'r defnydd o feddalwedd cyfrifyddu.  Fe wnaeth yr wybodaeth a roddwyd i'r grwp gynyddu diogelwch, eu modd o weithio'n fwy diogel ac fe wnaeth ostwng costau'r gwaith.

Wrth sôn am y prosiect, dywedodd Ysgrifennydd Grwp yr Wyl;
'Ar ran grwp yr wyl, hoffwn ddiolch i chi am helpu i atgyweirio fy nghyfrifiadur, a'm harbed i rhag cyfnod mewn cartref i'r cwbl ddryslyd, a hefyd am eich cymorth a'ch cyfarwyddyd gwerthfawr wrth sefydlu ein gwefan. Mae'r ffaith fod eich tîm yn medru cynnig cymorth a chefnogaeth mor hawddgar, yn symud grwpiau fel ni yn ein blaenau at brosiectau mwy uchelgeisiol a gwelliannau i'n sefydliad presennol, yn y wybodaeth eich bod chi alwad ffôn i ffwrdd.'
